Office and field: how do you avoid losing information?

The problem isn't always a lack of information. It is often information in the wrong place at the wrong time.

Mawydo editorial · Practical guide

1. Give every report a reference point.

A photo in a conversation may be useful but difficult to find three weeks later. Attach reports to a clearly identified record, job or customer. Specify essential elements: date, author, status and any required next action. The goal is not more fields but enough context for the office to use the information without calling the person back.

2. Simplify entry during the job.

A screen designed for the office may not work well on a smartphone. Test the journey with a field user: finding the assignment, reading instructions, submitting a report and checking it was saved. Essential fields should be easy to identify. If connectivity is uncertain, offline needs must be assessed explicitly, including synchronisation and concurrent edits.

3. Distinguish information sent from work completed.

Sending a report does not mean the record is complete. Approval, a document or an agreement may still be missing. Define states the team understands and an owner for the next step. The office should identify jobs requiring attention, while field teams should know if a report needs correcting. Shared status is often more useful than many messages without a visible decision.

4. Connect the report to the next step.

Job information can help prepare customer follow-up, an order or an invoice. Identify what is needed and what requires approval. Avoid automatically copying unchecked data into binding documents. Connections to existing tools are prepared around available interfaces and your business rules.

5. Test with a real working day.

An ideal demonstration doesn't always reveal everyday difficulties. Use an anonymised example with a change, an incomplete report and a late instruction. Ask users what is missing and what slows them down. This review provides priorities for the mockup and first version. For your Mawydo project, begin by describing a typical job and how its information reaches the office.

Questions you might be asking.

Do field teams need a separate tool?

Not necessarily. One solution can offer screens adapted to field and office users. What matters is sharing the right information and respecting each role's permissions.

Fresh perspective. Useful ideas.
